Re: Avoiding the Barriers to Communicate
Dear Team
I am typing about how to avoid the barriers to communicate including Technical breakdown, wrong format, unclear message, use of jargon, wrong target, poor timing, no feedback, wrong channel, attitude toward the sender, receiver unable to understand. This can cause a lot of misunderstanding. To avoid this:
Technical Breakdown: Speak to the operation and IT director first to check if the computer and all mechanical items are working and good to go.
Wrong Format: Make sure that you are using a suitable format for certain type of file’s e.g. for an image online use JPEG, PNG, or GIF and for a printing image TIFF.
Unclear message: Make sure you are making your message clear as you can including spelling and correct grammar in your sentence.
Use of Jargon: Make sure you use few jargon as you possible can because people may not be able to understand you.
Poor timing: There is no point sending email when hw/she is a sleep or phone them because it put a bad mood to them by disturbing them.
No feedback: Try to communicate with the costumer rather than making them feel alone. And also give feedback of comment given by staff and customer.
Wrong channel: using wrong channel may cause misunderstanding. For example if you want to speak with your boss you have to speak with the secretary to arrange a meeting rather than go to his room when he is busy and also stress on his work.
Attitude toward sender: be polite to the sender. If you dislike them this may cause anger and frustration. Try to stay focused on the meeting because it may be important.
Receiver unable to understand: Speak clearly on the phone. And when you send email be polite and use less jargon.
Wrong target: make sure have checked the email and the name to be sure that it go to the right receiver (target)
